Reminder on Microsoft Licensing Deadline

On 8/31/01, I sent out an announcement about impending changes to
Microsoft's Academic Select licensing program. Today's message is
intended to remind campus departments that the last phase of those
changes will end on 7/31/02.

What is happening:

More than a year ago, Microsoft announced that its then-current
volume licensing programs, Academic Select and Academic Open License,
would be replaced by new Version 6.0 programs. This replacement
process has included a number of steps, the last of which is the
"Licensing 6.0 Launch Transition Period," which ends on 7/31/02.

This date is crucial only for departments that still want to purchase
maintenance options available during the grace period. Most
departments have probably taken care of this, or are not interested.

A key factor in deciding whether to purchase the maintenance options
is the intended frequency of upgrades. Microsoft has said that the
maintenance options are cost-effective if a department upgrades more
often than every 3.5 to 4 years. To be exact about your own
situation, you should calculate the difference in cost over time for
buying maintenance versus buying new licenses.

AFTER 7/31/02, the following will be true for Microsoft's volume
licensing programs:

      * The only way to upgrade, other than buying a new license,
will be to purchase Software Assurance, a new maintenance service.
There is once exception; see below.

      * The exception to the above is that there will continue to be
an Upgrade License option for desktop Windows operating system
licenses. This will enable older desktop OS licenses to "get
current," and purchasing Software Assurance will enable them to "keep
current."

      * Software Assurance will be available only if included on the
same order as the license. (This rule won't apply to Software
Assurance renewals, of course. And it doesn't apply in the case of
eligible retail or OEM licenses.)

What customers can do BEFORE 7/31/02:

      * Purchase Software Assurance for products already licensed
that are "current" by Microsoft's definition. For Windows and
Office, this includes one version back.

      * Purchase Upgrade Advantage for eligible products that are not
"current" by Microsoft's definition. Any Upgrade Advantage purchase
must be done under the Academic Open License program, as UC has
already moved to Select 6.0, which doesn't include Upgrade Advantage.
Upgrade Advantage purchased now will automatically roll into Software
Assurance.

      * Take advantage of new special promotions for Windows Advanced
Server (see link below).
